Send the archives a family tree that provides names, dates and places of
birth if known. Include an explanatory letter that states what you want to
know; i.e., the names and origins of your relatives. They are aware that
spelling and names may not match. You and I do not know what records are
where. In my case, they said that births of children for Smiltene in the
district of Valka were kept by the Jewish community of Riga which they
searched. Also police and house registers are available to them as well as
internal passport documents. In my case they sent and charged for their
summary of the data as well as copies of passport pictures. To save money,
you could state that you do not want copies of the pictures. (I used them to
verify the identity of people in some old family photos.)

In other words, treat the researcher as an expert trying to do a good job.
Give him a good summary of what you know in order to simplify his task.

Yes.

And I suppose that we are talking since the time of Abraham.
Not since Abraham, but perhaps since Moses. I think it's reasonably
certain that the hereditary status of Cohanim and Leviim was
well-established in First Temple times, i.e. before 586 BCE. You may
get some debate on how far before that.
